Health and Safety Protocol
Aims
-
To ensure a safe and healthy environment for the congregation of Hayling Island Baptist Church (HIBC) and any visitors.

To support and follow all the health and safety regulations of public buildings used by the church.

To ensure safe arrangements for the set-up, use and removal of all equipment.

To provide a healthy physical environment for all that attend Hayling Island Baptist Church services, meetings and social events.

To ensure equal access and support to all during services and events.
This protocol is to be read in conjunction with the Health and Safety Policies and Fire Safety Procedures of all venues used by the church and specifically that of where the majority of services and events take place at: Hayling Island Community Centre, Station Road, Hayling Island, PO11 0HB
The other venues currently used are:

Fire Safety

The church leadership have researched and checked the fire evacuation procedures of each venue that the church currently uses and will in future check those of new venues.

All procedures and protocols relating to fire safety in HICC and other venues will be followed by the church.

All venues have clear fire exits, the provision of fire extinguishers and clear guidelines for evacuation.

The church leaders check all fire safety regulations and procedures in every venue that is used by the church, including the fire assembly points.

HIBC has a nominated and trained Fire Marshall who will, alongside church leaders, support safe evacuation of all the congregation and visitors in any of the used venues.

HICC may have a Fire Mashall on site who (if present) would lead an evacuation supported by the church Fire Marshall and/or church leaders.

Seacourt Tennis Club has its own Fire Marshall (if present) who would lead and assist with safe evacuation when the service was in their building.

The Guide Headquarters and Bridge Centre are rented without volunteers or owners of the building present, therefore the responsibility for ensuring the congregation and visitors know where the fire exits are and how to evacuate safely lies with the church Fire Marshall and church leaders.

All fire exits are clearly marked in each venue and if required church leaders will point them out to the congregation and visitors at the start of a service or event.

The setting up of chairs and equipment will not block fire exits in any venue.

If children and young people are in Sunday Club during a fire alarm, they will be escorted safely outside to the fire assembly point with the Sunday Club adults taking the register with them.

Vulnerable adults or those with mobility issues will be supported by those of the congregation that they attended with, or church leaders as directed by the Fire Marshall or church leaders.

​First Aid and Accidents

The church has a trained First Aider in place plus other medically trained members within the congregation.

Anyone suffering an accident or onset of illnesses will be treated with dignity, privacy and given the appropriate first aid and advice.

The church has its own first aid box that is always available during services and each venue also has signposted first aid supplies.

The First Aider or relevant person will fill in an accident report in the Church Accident book and also the Hayling Island Community Centre Accident Book following the incident (or relevant book in another venue).

Any accidents possibly relating to the venue’s equipment or the venue itself will be recorded and the HICC Centre Manager alerted (or person responsible for a different venue).

If HICC staff or volunteers are in the building they will be informed of any significant incident at the time. They will also be informed at the time if 999 has been rung for assistance.

Regular HIBC attendees may, if they wish to, disclose any ongoing health issues to church leaders, if needing additional support during services and events.

All significant incidents that may relate to RIDDOR or COSHE will be recorded and reported by the HICC centre manager (or manager of the other venues) with any necessary support from church leaders.

Safe Use of Equipment​

Any general hazards found at a venue before a service or event will be reported to their manager and the area made safe before the congregation arrives.

All equipment owned by HIBC will be regularly tested and checked for faults or damage. It will be stored in a safe and orderly manner.

All venues will ensure that equipment loaned to HIBC is regularly tested and checked.

The setting up and putting away of equipment will be done in a safe and appropriate manner and include the covering of leads, space between rows of chairs and specific equipment to be used only by those with appropriate understanding.

Changes to the lay-out of equipment, chairs or any other large equipment will be highlighted by the team leading the service or event.

Food Hygiene & Kitchen Safety

Anyone preparing and serving food in connection with a HIBC event will follow generally accepted good hygiene rules eg. washing of hands, covering cuts, checking the floor for spillages.

Children will not go into in the kitchen areas.

All equipment that could present a safety risk will be used appropriately eg. sharp knives, coffee machines, hot water urns.

Members of HIBC congregation responsible for preparing and clearing up food and drinks on that day will be responsible for ensuring that all equipment is turned off, rubbish disposed of, and the kitchen areas left clean and safe

Any broken or unsafe equipment will be reported to the venue’s manager.

Congregational members and visitors will themselves be responsible for checking for food substances that they may be allergic to.

Regular attendees will share necessary medical allergy advice as necessary and relevant accommodations will be made.

Communion “wine” is non-alcoholic, and gluten free bread is available.
-
During bring and share buffet style meals, food will be labelled as considered necessary eg vegetarian, nuts, gluten etc.

All those helping to prepare and clear up food and drink will familiarise themselves with general Food Hygiene guidance
